🔐 Buddy Card – Privacy Policy

Last updated: 07 January 2026

1. Who We Are

Buddy Card is a service operated by Biz Buzzio Digital Solutions Ltd, registered in England & Wales.

For the purposes of UK GDPR and data protection law, Biz Buzzio Digital Solutions Ltd is the Data Controller responsible for any personal data processed through the Buddy Card system.

When we say “Buddy Card”, “we”, “us” or “our”, we are referring to Biz Buzzio Digital Solutions Ltd.

2. Our Privacy Promise

Buddy Card is designed to be lightweight, ethical, and respectful of privacy.

We:

  • Collect only what is necessary

  • Never sell personal data

  • Do not scrape or harvest data

  • Do not manipulate reviews

  • Keep data use transparent and purposeful

3. What Data We Collect

Depending on how Buddy Card is used, we may collect:

Business Data

  • Business name

  • Contact details (email, phone)

  • Subscription and support-related information

Customer Data (Voluntarily Submitted)

  • Name

  • Contact details (email and/or phone)

  • Referral details

  • Messages submitted via forms

  • Review-related submissions

Technical Data

  • Device type and browser

  • IP address (for security and analytics)

  • QR code interaction data

  • Page usage statistics

We do not collect sensitive personal data.

4. How Data Is Collected

Data is collected when:

  • A QR code is scanned

  • A review, referral, or social share form is submitted

  • A confirmation or thank-you page is viewed

  • A business uses Buddy Card admin or control hubs

  • A user contacts us for support

All customer submissions are voluntary.

5. How We Use Data

We use data to:

  • Operate the Buddy Card system

  • Display confirmation and thank-you pages

  • Route reviews and referrals to the correct business

  • Provide support to subscribed businesses

  • Improve system reliability and performance

  • Maintain security and prevent misuse

  • To route internal feedback to businesses for service improvement

We do not use data for unsolicited marketing.

6. Reviews & Ethical Use

Buddy Card may integrate with review software that provides businesses with private internal feedback as well as a direct link to public review platforms such as Google.

How this works:

  • Customers may be invited to share feedback via Buddy Card

  • Lower-rated feedback may be routed to the business privately for service improvement

  • Customers are always free to leave a public review on Google at any rating

  • A direct link to Google Reviews is available regardless of feedback score

Buddy Card does not prevent, block, or restrict customers from leaving a public review on Google.

We do not:

  • Alter review content

  • Submit reviews on behalf of customers

  • Require a minimum rating to access public review platforms

This approach is designed to support service improvement while remaining compliant with Google’s review policies.

7. Referrals

Referral data submitted via Buddy Card:

  • Is shared only with the relevant business

  • Is used solely to notify the business of the referral

  • Is not sold or reused elsewhere

Buddy Card does not manage, guarantee, or enforce referral rewards — those remain between the business and the customer.

8. Data Storage & Third Parties

Data may be securely stored or processed using trusted third-party platforms such as:

  • Form and data capture tools

  • CRM systems

  • Analytics platforms

All third-party services used are GDPR-compliant and only process data necessary to deliver the Buddy Card service.

9. Cookies & Analytics

Buddy Card may use:

  • Essential cookies for functionality

  • Analytics cookies to understand usage and improve performance

You can manage cookies through your browser settings.

10. Data Retention

We retain data only for as long as necessary to:

  • Operate Buddy Card

  • Provide support

  • Meet legal and accounting obligations

  • Resolve disputes

Data is periodically reviewed and deleted when no longer required.
